How can I log an email from Outlook?
Unlike Calendar Events, emails in Outlook must be manually synced with Navatar. To save an email, open it in Outlook and use the Navatar Plugin. Click “Save Email,” choose which items you’d like tag to the email, and click “save.”
How can I tag records to an email?
When you open the Navatar Side Panel in Outlook, the system will scan the contents of the message that you are viewing, and cross reference them with the items that exist in your CRM. Any items it identifies will display in the side panel for you automatically. Once you click “save email” you can select if you’d like to tag the records to the email using the checkboxes on the right, as shown below.
If you want to tag the email to a record that the system doesn’t pull up on its own, you can search for it using the search bar at the top of this panel, as shown below. Once you’ve decided which records you want to tag, click “Save.”
How can I attach documents to the email?
When you are saving an email into Navatar via the Outlook Plugin, you will have the option to save any attachments along with it. Once you click the “save email” button, you will see the attachments underneath the tagged records section. You can use the checkboxes here to select which attachments you’d like to save along with the email.
Can I make changes to the email once its been saved to Navatar?
Just as with any other activity in Navatar, emails saved through Outlook can be edited in the same way as other interactions. They can be found in the “Interactions” section of a record page and edited using the “edit note” button.
Can I tag the email to a new record altogether?
If you need to tag an email to a record that doesn’t exist in Navatar, you can use the Outlook Side Panel to create records. In some cases, the plugin may identify records not yet created in Navatar and suggest that you create them in the “Suggested Records” section. Click “new” and follow the prompts to create the record, as shown below.
To create a record that the system did not suggest, click the “+” icon in the top right corner of the tool, choose which object you would like to create, and the system will guide you through the steps to create the record.
Once you’ve created the record, you can go through the standard process of saving the email.
Where does the email show up on the Company/Contact/Deal/etc.?
Any emails that have been saved into Navatar will show up alongside the events from your Outlook calendar and any manual tasks/events. You can see all of these interactions from the “Interactions” section of any record page.
I can see the email in Navatar but none of the details. How can I get the details to the email?
Navatar displays receipt of email correspondence with people in your database but will not display the body of the email. To save the body of an email, you’ll need to use the Outlook plugin to manually save the email. From the message you’d like to save in Outlook, open the Navatar side panel, click “Save Email,” select the records to tag, and click “save.”
How can I tag responses to emails? Is the thread saved?
You’ll be able to save outgoing emails and responses from Outlook into Navatar the same way that you would save incoming emails. From the message you’d like to save in Outlook, open the Navatar side panel, click “Save Email,” select the records to tag, and click “save.” When saving replies to messages, the full email thread will be saved.
Can I log forwarded emails to Navatar?
You can save forwarded emails from Outlook into Navatar the same way that you would save incoming emails. Note that because the email is forwarded, Navatar may not be able to automatically detect the people that were on the original message. However, you will still be able to tag them manually. From the forwarded message you’d like to save in Outlook, open the Navatar side panel, click “Save Email,” select the records to tag (here you can search for people using the search bar), and click “save.”
Are responses to an email automatically synced to Navatar?
Unlike the Outlook Calendar, you will need to manually save emails if you want to see the full details in Navatar. This includes responses to emails that you have already saved into the system. From the response you’d like to save in Outlook, open the Navatar side panel, click “Save Email,” select the records to tag, and click “save.”
If 2 users are on the same email and one saves the email, does the other have to as well?
Navatar’s Outlook Plugin works laterally across the users at your firm. If two users were copied on the same message, it only needs to be saved once into the system. If one user saves the message, it will show as “saved” for all other users at the firm directly from their Outlook.
Can I log an email from mobile?
The same functionality that you have for saving emails via Outlook on your desktop works on mobile as well. To use the tool, you must be using the Microsoft Outlook app. While viewing any message, click the three dots in the top right corner and select “RevenueGrid.” You can then do all of the same things from your mobile device that you can do on the desktop version of the tool.
What if I forget to tag a record?
When you save an email into Navatar, the system will scan it for any records that could potentially need to be tagged. Next time you sign in, you’ll see a notification prompting you to review the tags from the email. If you click “review tags,” as shown below. You’ll see the tags that the system identified, and you can follow the prompts to tag the correct records to the email.
Additionally, you will be able to manually add tags directly from the interaction record itself.
