How Navatar automatically syncs with your Outlook Calendar to gather your meeting schedule
Navatar syncs with your Outlook Calendar. This means that any meetings on your Outlook Calendar will automatically be transferred into Navatar along with the people that are listed on the meeting. After Navatar automatically creates these meetings, you’ll then be able to enter the details of the specific interaction.
So, before you’ve even entered any notes, as long as the Email Connector Tool is installed in your Outlook, you’ll have a full list of all the meetings that have taken place, and who they were with.
How Navatar reminds you to start entering notes when each meeting begins
Rather than copying and pasting notes from another place, it is also possible to take notes during your meeting directly in Navatar. Because Navatar pulls in meetings from your Outlook Calendar, it knows when the meeting will take place. At the start time of a scheduled meeting, if you have Navatar open, you’ll receive a pop up with the option to take notes directly into the system.
Can you get a reminder to enter notes after the meeting?
Because Navatar is connected to your Outlook calendar, it automatically detects when a scheduled meeting ends. At that time, it sends reminders to enter meeting notes, which appear on both the home screen upon logging in and on the individual contact pages of any attendees. These notifications will stay in both places until the action is completed, or you close the notification using the “x,” as shown below.

What if you forgot to enter notes for the last few meetings
On busy days filled with back-to-back meetings, it may be challenging to log into Navatar to record meeting notes. However, Navatar’s notifications can serve as a backlog list of notes that need to be entered. When you receive a pop-up notification, it can be “snoozed,” as shown below, and accessed later from the home page. This list then serves as a to-do of all meetings that need notes entered.
Entering meeting notes for events that were not scheduled in Outlook
While Navatar imports meetings from Outlook, there may be occasions when you have interactions that are not reflected on your calendar. For instance, you might have an impromptu phone call or a chance encounter at a coffee shop, and there may be valuable insights from these interactions that can benefit you and your firm in the long term. It is therefore important to record notes for these interactions as well.

You can do this easily by clicking the “Create” button on the navigation panel at the bottom of the site, selecting “Call,” and following the prompts to enter the notes.

Creating Meetings from Acuity
You can also create a new Meeting from the Acuity tab of any record page. You can do so by clicking the draft icon, located in the top right corner of the “Interactions” section of the page, as shown below.
Can you see meetings your colleagues had but no notes were entered?
Navatar provides a baseline of “who knows who” within your organization by automatically pulling in meetings from every user’s calendar, along with the people that were involved in those meetings. Even if some users are not diligent about entering meeting notes, other users can still see an overview of their colleagues’ interactions with external contacts. This information can be useful in identifying potential business opportunities and making more informed decisions.
Can I increase the size of meeting notes window for easier note-taking?
Navatar’s meeting note entry window allows users to type or paste free text directly in the system. Users can expand the size of the text field by clicking on the expand icon in the top right corner of the window, as shown below, which will provide more space to enter lengthy notes.
Do I need to multi-tag all Firms, people or deals or does Navatar do it automatically?
Tagging relevant items to meetings is important in order to keep track of all conversations related to those items. When notes are entered for a meeting, Navatar automatically detects Firms, contacts, deals, or other items mentioned. Users can then choose which of the detected items they’d like to tag to the meeting. Additionally, users can manually tag items and create new firms and contacts using the @ symbol within the notes.

What to do if the meeting is part of a deal we are evaluating
By tagging deals to meetings, you can easily keep track of all the conversations and updates related to that particular deal. If you mention the deal by name in the meeting notes, Navatar will detect it suggest you tag it to the meeting. You can also manually tag the deal using the tag icon at the bottom of the meeting note window.
Do I need to tag all Firms, people or deals for notes I import?
Tagging Firms, deals, and people to meetings is essential for tracking all conversations related to them. Once you import notes using the “Import” button, Navatar automatically scans through them to identify relevant items that should be tagged. We take care of the work, and you only need to confirm which suggested items to tag.
Can I enter a meeting note from mobile?
You have the same meeting note options on the Navatar Mobile app that you have on the main site. You will receive notifications when logging into the app as well as on each record page, and you can tag and create records just the same as you would do on your computer.
